Noira / Firm intake checklist
Check the path
after the inquiry.
This checklist helps a firm owner and intake lead inspect the basic response path. Test with clearly marked internal inquiries, not real accident or medical details.
1 Record what arrives
- Does every website form create a receipt in the firm-approved system?
- Can staff identify the inquiry source without reading sensitive details in ad tools?
- Are repeat submissions linked rather than silently discarded?
2 Put a person on it
- Is there a named primary intake owner for each business-hours inquiry?
- Does the queue show a timestamp for the first human contact attempt?
- Is a backup person responsible when the owner cannot respond?
3 Test the edge cases
- What happens after hours, on holidays and when phones are unanswered?
- Can you see and replay a failed CRM delivery without making duplicate inquiries?
- Does an opt-out stop automated follow-up across the active workflow?
4 Define the outcomes
- Are inquiries, connected conversations and consultations reported separately?
- Does authorized firm staff confirm any signed engagement reported?
- Can you reconcile the CRM queue against call and form receipts weekly?
5 Protect firm control
- Does the firm own its domain, ad account, tracking numbers and intake data?
- Has the responsible attorney approved advertising and follow-up wording?
- Are sensitive case details excluded from ad pixels, URLs and routine alerts?
Review any missing answer before increasing spend.
A missing owner or untested fallback is a concrete operational gap. A scored infrastructure audit can turn the gaps into a prioritized build plan.
